Task List

Organized form of work leads to higher productivity. This is a general experience for anyone who has a task to accomplish. The task can be as simple as baking a cake or as complex as assembling a rocket. The point is when you know all the steps to accomplish a task and have all the required material in an organized manner, the actual doing of the task becomes stress free. Naturally, the output is lot more efficient and effective. So the bottom line for effective working is a task tracker.

A good manager is one who knows not only how to use a task tracker but also one who can customize it to the unique needs of a work space. There are many team tracker software programs in the market. All of them have great features. These tools become super powers only in the hands of an able manager.

How can a manager become a super manager with team tracker software?
The short answer to this question is – have a grip on the all the processes involved in an office space along with an understanding of the people requirements.

The long answer to this question is as follows:-

Task identification

The very first step to completing a task is to knowing what needs to be done. Even to track team, a manager needs to understand how to arrive at tasks. The pre requisite for this is to have a complete understanding of the business processes involved. A manager needs to take the time to understand the specific effects of completing a task and its impact on an end goal in the business. Identify tasks based on this knowledge.

Team association

If you identified ‘what to do’, the next step is to associate with the ‘who will do’ the job bit. This is where team dynamics come into play. The pre requisite for a manager is to understand the team associated – their strengths and weakness, their abilities and short comings. Best of the task tracking software programs allow for individual task allocation and group activity allocations. The manager should be able to assign tasks and owners for it based on his/her innate understanding of each team member’s abilities.

Work allocation

Use task trackers to allocate work either for an individual or for a team. A manager should consider the following questions when allocating tasks:

  • Does the task allocated fall directly in the KRA of the individual?
  • Can you identify and measure your task ?
  • Is your team capable of doing this task?

If the answer to all the above mentioned questions is yes, then the task allocation can be proceeded with.

When allocating a task the manager should be able to ascertain where to draw the line between over load and under utilization. This is a fine art that comes with certain knowledge of the team members an over a period of association.

Task assessment

Once you complete the task allocation, proceed to focus on monitoring and providing guidance. This calls for a regular assessment of the progress on each task. Best of the task trackers in practice management allow for a periodic review of tasks and making notes against each of the action items. These will act as guidance for the team to proceed further.
The assessment phase helps in improving the overall coordination between task and team planning to ensure the work done is faster, efficient and effective.
